How to choose incubation management software in India

A buyer’s checklist for Indian incubation centres, TBIs and AICs: the features that matter, the questions to ask every vendor, and how to run a fair trial.

The Incubate360 Command Center: what needs the director today, with startups, applications, funds and occupancy below

To choose incubation management software in India, check seven things first: GST and TDS in the books with files your accountant can use, utilisation certificates in Form GFR 12-A made from those books, NAAC, NIRF and IIC numbers from the same records, founders who file their own monthly report, a separate login for each kind of person, data kept in India, and a price that does not grow with every user. A tool that misses these leaves your team doing the same work by hand.

What kinds of tools do incubation centres use?

  • Spreadsheets, forms and chat groups. Free and familiar, but every number is collected again for every report, and approvals leave no record.
  • A general CRM or ERP. Good at contacts, deals or accounts, but it has to be set up for programmes, mentors, grants and accreditation work.
  • Accelerator platforms built for programmes abroad. Good at applications and cohorts. Check whether they handle GST, TDS, utilisation certificates and Indian accreditation work.
  • An incubation centre ERP built for India. One system for startups, programmes, people, money, grants and reports, in the shape Indian funders and accreditation bodies ask for. Incubate360 is one.

What must an Indian incubation centre’s software do?

  • Applications and selection: a public form, a screening committee that scores on its own screen, and a written reason when the final call goes against the committee.
  • One record per startup: CIN, GSTIN, PAN, DPIIT and Udyam numbers checked as they are typed, with team, funding and documents.
  • Monthly reports from founders: each founder files from their own login, so nobody chases on WhatsApp.
  • Mentors: session requests, write-ups, and honorarium with TDS and a payment advice.
  • Investors: a login that shows the startups you choose, without founders’ contact details.
  • Money: double-entry books with GST and TDS, an approvals queue where nobody approves their own entry, and files for Tally or Zoho Books.
  • Grants: every rupee traced from receipt to a utilisation certificate in Form GFR 12-A.
  • Accreditation: NAAC, NIRF, NBA and IIC numbers, with evidence built from event reports.
  • Logins and data: a separate login for each kind of person, sign-in codes, an audit log, and data kept in India.

Questions to ask every vendor

  1. Show me a founder filing a monthly report from their own login.
  2. Show me a mentor’s honorarium, from claim to a payment advice with TDS.
  3. Make a utilisation certificate in Form GFR 12-A from the books, not typed in.
  4. Show me the NAAC evidence for one workshop.
  5. Can an investor see a founder’s phone number? The answer should be no.
  6. Who approves a payment, and can anyone approve their own entry?
  7. Which files does my accountant get for Tally, Zoho Books, GSTR-1 and Form 26Q?
  8. Where is our data stored, and is it sent to an outside AI service?
  9. Does the price grow with every user or every startup?
  10. Can we bring our startups in from a spreadsheet, and take all our data out whenever we want?

How to run a fair trial

Ask for a live demo and bring one real month of your centre: one application, one committee decision, one monthly report, one mentor session and its honorarium, one bill with GST and one grant entry. Watch each step done by the login that would do it in real life. A product that needs a spreadsheet anywhere in that month will need one every month.

Questions

Questions people ask

What is the best incubation management software in India?

The best one for your centre does your monthly work without a spreadsheet: founders’ reports, mentor honorarium with TDS, GST bills, Form GFR 12-A utilisation certificates, and NAAC, NIRF and IIC numbers. Incubate360 is built in India for exactly that work.

How much does incubation management software cost?

It varies by vendor and by how the price is counted: per user, per startup or per centre. Incubate360 starts at ₹24,999 a month for the whole centre, with every module and every login.

Can we move from Excel to incubation software?

Yes. In Incubate360, startups come in from a spreadsheet, each row is checked first and marked ready, warning or duplicate, and any list can be taken back out to Excel.
